Sponsor's Options
Speakersmic provides you with a number of options. Some options such as addtional air time and moderator services increase the cost of your program. Other options including use of the 30 day archive and attendee testing are free. You select your options on the Program Profile. Speakersmic uses this information to customize your program. Your options are descibed in detail below. If you want something that is not on the list, please ask. We are willing to consider your request.
Program Details
Selecting your time slot.
Timing is everything. Speakersmic schedules programs starting at 9:00 AM Eastern and ending no later than 9:00 PM Eastern. You select the time slot that works best for you and your intended audience. Some target markets require training after normal business hours; while others respond better to mid-morning or mid-afternoon. Consider attendees from different time zones, if applicable.
Determining program length and associated cost.
The program length is your decision. Speakersmic's pricing is based on a two hour session. If you schedule a 2 hour program, Speakersmic credits your session an additional 15 minutes. The additional 15 minutes is to help wrap up without rushing. You may schedule your program for any length you wish (contact us for special pricing on programs over 4 hours). Add $10 to your base attendee price for every hour you book above the standard 2 hour program. A program of less than 2 hours is billed at the full base price.

Allow participation of unpaid attendees.
You have the option of allowing unpaid attendees. If the sponsor agrees to allow unpaid attendees to participate in a program, the sponsor agrees to pay Speakersmic the base connection fee. If Speakersmic is processing registrations for the sponsor, payment for the program is received at time of registration, either by credit card or by check with mailed registrations. If you purchase Speakersmic's Marketing Services, and agree to allow unpaid attendees, your registration system is configured to generate an e-mail invoice at the attendees request. Speakersmic does not send bills or collect unpaid registrations. If the sponsor allows unpaid attendees, the sponsor is responsible for collecting the registration fee after the program.

Delivery Options
You may offer your program as a web seminar or a phone seminar. Some sponsors offer both options for the same program allowing the registrant to choose. Both are available through Speakersmic at the base price of $35 for a Basic Connection and $45 with Registration Services. There is no additional cost for offering both options. If your market is new to web seminars, it is advisable to offer both delivery options for registration. Make your selection on the Program Profile.
Delivery Methods - Visual tools
There are several different delivery methods available. Your audience is more engaged throughout the program. Using a slide presentation, white board, or sharing his or her desktop/monitor enables the speaker to emphasize key points and provide visual interest. While use of prerecorded video is a vible option, live video is not recommended at this time due to lip sync issues. Read below to learn more about each visual delivery method. The Pre-program Survey completed by the speaker(s) asks for this information as it relates to his or her presentation. If you are uncertain about the delivery methods preferred by the speaker, leave this section blank on the Program Profile.
Video
There are two types of video delivery, low quality, low bandwidth video from a webcam for use during the live broadcast, and high quality video captured by a camcorder to be used in producing prerecorded video clips, DVDs and Rich Media Archives. (Speakersmic can loan you a camcorder with a $600 security deposit held on your credit card.) Good quality video can make your program and products look more professional. Speakersmic recommends using prerecorded video only when you know your audience has the technology to receive good quality images. It is not suggested for public programs.
Slide Show
PowerPoint is the most popular slide show presentation software, but Speakersmic is able to interface with all leading providers. Speakers using the slide show option are encouarged to use 60 to 80 slides for a two hour presentation. The audience should be able to listen to the presentation while watching a slide, and have them communicate the same message. Some presenters use the slide presentation as their written materials. Others use written materials in addtion to the slides. In this case, the slides must also correspond to the written materials.
White Board
The white board is a free form visual aid. The speaker may write using the pen on the presenter's tool bar or use a text box for typing. Some speakers find this tool helpful during question and answer sessions. A speaker can easily navigate between the white board and a slide show. The white board presentation tools are available to annotate directly onto slides or the shared monitor.
Shared Monitor
If you are sponsoring a program on internet research or training employees on the use of a new computer software, your presenter's key strokes teach your audience. Using the shared monitor tool allows your audience to see what your presenter is doing. It is also an effective way to view a common document in full screen.
Audio Options
Speakermic offers two options for providing the audio feed. You may choose to offer both options. Make your selection on the Program Profile.

Your attendees are provided a toll-free telephone number to connect to the program. This is the recommended option. The only technology required to connect is a telephone. If it is a speakerphone and has a mute button, that is optimal.

Voice Over Internet Protocol (VOIP) is also available, but your attendee's computer must acommodate this option. If you are offering this program for open registration, we do not recommend offering VOIP only. There are too many variables. A poor audio connection can spell disaster. We suggest you give your audience a choice. If you are sponsoring a program for a defined audience and know the computer capabilities of your attendees, VOIP is a viable stand alone option.
30 Day Archive
There is no charge for the 30 day archive. It comes standard with all programs. The archive is a recording of the live program, unless you have selected the DVD option. If you have chosen to record high quality video and produce a DVD, the video can be remastered for use in a rich media archive at no extra charge. You can decide if the archive is available to attendees after the program. You may include it with the cost of the program or sell it as a separate product. The Program Profile asks for specifics regarding your use of the archive.
If you make the archive available to attendees with the cost of the web seminar, you may:
offer attendees unlimited access,
limit the number of times attendees can view the archive (available with Registration Services or Marketing Services only), or

specify the number of days the archive is available after the program.
Attendees access the archive with the password provided by Speakersmic. If you opt to limit attendee access to the archive, Speakersmic sets a counter in our system to allow the number of views or length of time you indicate on your Program Profile. Once an attendee has reached the limit, the system automatically prevents access, and displays a message to the attendee informing them that the archive is no longer available for free access. If you decide to sell the archive as a separate product (available with Registration Services and Marketing Services only), the message will inform attendees that the archive is available for purchase.
Moderator Services and associated cost
For $300 (for a 2 hour program) Speakersmic can provide you with an experienced moderator to manage the pace and flow of your program. Use of a moderator is recommended for public programs or when the speaker is new to web delivery. Experienced presenters may prefer to act as their own moderator.
If you are scheduling a program in excess of 2 hours and need a moderator, please add $150 for each additional hour of air time.
A sponsor may provide its own moderator for the program. When you are using your own moderator, please add your moderator to your list of speakers. If you have a moderator for your program in addition to the speaker, indicate your "Number of Speakers" as 2 on the Program Profile.

Communications with Attendees
Question and Answer Opportunities
Using Speakersmic your attendees may ask questions of the speaker before, during, or after the program. You decide when and how questions are asked and answered. Your speaker should also be consulted. Some speakers provide contact information directly to attendees, others do not. In addition, many speakers have a preference regarding how questions are submitted. Some take live questions during the program; while other speakers will only accept them via e-mail. Your options for allowing attendee questions before, during, and after the program are described below. Indicate your choices on the Program Profile. Speakersmic establishes the necessary systems to meet your needs, and provides the appropriate instructions to your attendees.
Before the Program
Allowing attendees to ask questions before the program start time is a sponsor option. The speaker is asked some of these questions on the Pre-Program Survey. If you are unsure of the answers to these questions simply leave them blank at this time.

No Q & A before the program - In many scenarios there is no reason for attendees to ask questions prior to the program. The speaker may not be amenable to the idea, or the information being communicated may not call for it. If you do not wish to allow attendees the opportunity to submit questions before the presentation, select this option on the Program Profile.
There are two ways attendees may ask questions before the program. Either the speaker can agree to provide contact information directly to attendees or Speakersmic can provide a limited-use, dedicated e-mail address for your program.

Dedicated e-mail address - Speakersmic can establish a limited-use, dedicated e-mail address for your program. The speaker establishes when the box is active to accept e-mailed questions on the Pre-Program Survey, e.g. 48 hours prior to the program to one hour prior to the program. Attendees are sent a link and the applicable instructions 3 days before the program. You and your speaker receive an e-mail when your address is activated and before it is terminated. Upon termination all unopened e-mail is forwarded to the sponsor. It is the speaker's and sponsor's responsiblity to check the e-mail for the duration it is active.

Speaker to provide contact information - Many speakers agree to have attendees contact them directly with questions. When a speaker agrees (also on the Pre-Program Survey) to provide contact information to attendees, Speakersmic sends an e-mail to attendees with the Speaker's contact information and any applicable instructions 3 days prior to the program. The speaker corresponds directly with the attendee.
During the Program
The value of attending a live program is the ability to ask questions of the speaker(s). During a Speakersmic program, your attendees can ask their questions live on the air, by email, or by using the chat box on their screen.
No Q & A during the program - In limited instances a sponsor may not want to provide attendees the opportunity to ask questions during the program. If the speaker is providing contact information to attendees, or if the sponsor has opted for a limited-use Speakersmic e-mail address dedicated to the program, questions may be submitted using those methods during the program, and the speaker can respond later.

Live attendee to speaker questions via a toll free call/voice mail- Some speakers and many attendees prefer a live question and answer session. To ask a live question of the speaker, an attendee can call the toll free number provided by Speakersmic and leave their question in the voice mail box designated for your meeting. The voice mail is played back during the Q & A session and answered live by the speaker.

Online questions only - Using the "Chat Box" on their computer screen during the program, attendee's can submit questions via an instant messaage. If you have selected the "Moderator" option, your Speakersmic program moderator will organize and read the questions for the speaker. A sponsor may use its own moderator or the speaker can access the questions directly on the presentation screen. (If you are using your own moderator, please add your moderator to your list of speakers. If you have a speaker and a moderator for your program, indicate your "Number of Speakers" as 2 on the Program Profile.)
Live and online questions - You may allow your attendees to submit questions using both methods.

Speaker to answer questions via e-mail if not answered during live presentation - Some programs generate a lot of questions. There may not be ample time to answer them all during the live presentation. If there are e-mail questions in the que at the conclusion of the program, Speakersmic can e-mail all unanswered questions to the speaker and the sponsor after the program. Select this box on your Program Profile to receive the unanswered questions submitted during the live presentation. If you would like Speakersmic to send you all questions submitted by e-mail during your program, simply tell your program coordinator.
After the Program
You and the speaker may agree to allow attendees to submit questions after the program. There are two methods for asking questions after the program. Either you can request a limited-use, dedicated Speakersmic e-mail address or the speaker can provide contact information directly to attendees.

No Q & A after conclusion of the program - If you and the speaker do not wish to allow questions after the program, select this option on your Program Profile.

NOTE: Providing attendees a comprehensive list of all questions and answers submitted before, during, and after the program is the responsibility of the program sponsor. Sponsors electing to use a limited-use, dedicated Speakersmic e-mail address and the online question option during the program have access to all program related questions submitted by attendees. Sponsors using Speakersmic Registration Services are provided access to attendee contact information.
Testing
Using Speakersmic you can test your attendees before, during, or after the program. There are many options available. The results may be tabulated during the program or imediately following the program, depending on the complexity of the test and the need of the speaker or sponsor. Test questions must be submitted at least 1 week in advance of the program to give Speakersmic adequate time to enter the test into the system.
Speakersmic needs to know if you will use the testing feature and if so, where it will fall in your time slot. Select your testing preferences on your Program Profile.
Test Results can be e-mailed to anyone you choose. Select who is to receive the test results on your Program Profile. If you indicate that the test results should be sent to the speaker and the sponsor, all results are forwarded. Attendees only receive their own test results.
If you or the speaker would like results of a test as soon as they are available during the live presentation, ask your Speakersmic program coordinator. The speaker will not be interrupted with test results unless it is specifically requested.
Evaluations
You may invite your attendees to complete an evaluation at the conclusion of the program. The sponsor provides up to 10 questions to be posted on the evaluation. Provide your questions to Speakersmic at least one week prior to the program to give us adequate time to prepare the evaluation in our system.
Speakersmic encourages the use of attendee evaluations, but they are not necessary in all cases. Indicate on your Program Profile whether or not you would like an attendee evaluation at the conclusion of the program.
Evaluation results may be sent to the sponsor and the speaker. Make your selection on the program profile.

Sale of Merchandise
Sale of merchandise related to the program is available with Registration Services and Marketing Services only. You determine the price of each item. The cost for this service is 10% of all merchandise purchased through Speakersmic's payment processing system. There are additional costs associated with production and distribution of your CD-ROM or DVD, see below. Merchandise related to the program is available for purchase for up to 30 days after the date of the program. If you want to extend your sale of merchandise beyond the 30 day period you will continue to be charged 10% or $100 per month whichever is more. 30 day archive as separate item available for purchase
You may sell the 30 day archive as a stand alone product. Customers purchasing this item are sent a password to access the archive. The archive is available for 30 days from the date of the program, not from the date of purchase. You may offer unlimited access or set a limit on the number of times a purchaser can view the archive. Speakersmic charges 10% of sales for this service.

Unlimited access with password - You may offer the purchaser unlimited access to the archive for the remainder of the 30 day period from the date of purchase. Speakersmic sends the purchaser an e-mail containing the password and instructions for viewing the archive.

Limited access with password - Speakersmic can restrict the number of times a purchaser can view an archive. If you choose this option, indicate the number of views per purchase on your Program Profile. Speakersmic sends the purchaser an e-mail containing the password, instructions for viewing the archive, and an explanation of the viewing limitations.
CD-ROM of live web seminar
Speakersmic charges a fee of $250 to convert your live web seminar to CD-ROM. The image and audio on the CD-ROM mirrors that of the live program.
There is also a per disc charge of $5 for production and distribution. These charges are in addition to the 10% of all merchandise purchased through Speakersmic's payment processing system. The purchaser pays shipping costs (standard UPS rates apply).
Speakersmic is responsible for production and distribution of CD-ROMs related to the program. For information regarding sale of merchandise not related to a program, see Speakersmic's Extended Marketing Services. Click here for details.
DVD/Rich Media Archive of live web seminar
Speakermic charges a fee of $500 to convert your live web seminar to DVD/Rich Media Archive. The DVDs are recorded in standard definition. The quality of the video and audio on the DVD is superior to that of the live program. Our DVD's come with custom menus (featuring your logo), chapters, titles, and credits. Your Speakersmic program coordinator will contact you after the program about the details. Click here to view the DVD Demo. If you choose this option, you may distribute your rich media as a CD-ROM with no additional production charges. Also, once produced your archive will be converted to the rich media format as well.

Downloadable program materials
Program materials made available for download by attendees may be offered as a separate item for purchase. The purchaser is able to download and print the materials. Speakersmic will send the purchaser an e-mail containing a user name and password to access the materials and instructions for download. Speakersmic charges 10% of sales for this service.
You may restrict the number of downloads per purchase. Indicate your preference on the Program Profile. If you want to offer a purchaser unlimited access, leave this space blank on your Program Profile.

Payment to Sponsor for Sale of Merchandise
Accounting for the sale of merchandise is separate from live program registrations. The sponsor receives a separate check for each. The check for the sale of merchandise related to a program is sent to you approximately 45 days from the date of the program. You receive 90% of sales minus any per item charges related to the sale of CD-ROMs and DVDs.
